Planning One-to-One Meeting requests

When ‘managing your meetings’ there a number of key steps to take to ensure that you plan the most effective One-to-One Meeting schedule at the GHI Digital Reconnect Africa:

  1. If you are part of a large delegation attending the virtual event, appoint a member of your team to be your meeting coordinator.
  2. Add a personalised note with each meeting invite. In our experience this is a great way to brief the recipient of what the meeting may entail, making it more likely that you will have an acceptance.
  3. Add your colleagues into the initial request that you place with other delegates to avoid duplicate meeting requests.
  4. Participants have access to easy screen sharing allowing you to host presentations and view documents collaboratively. YouTube integration allows videos to be watched in your room together.

How long should a meeting be?

On the personal page meeting planner, you have the option to request a meeting duration of 15, 25 or 55 minutes. From our experience, we recommend:

Choosing 15 minutes for a quick introductory meeting.

Selecting 25 minutes for an in-depth meeting. These will take place in a designated virtual room and be scheduled during the networking breaks.

Choosing 55 minutes for an in-depth meeting with a large number of participants with a set agenda for the discussion.

Firewalls

Check your company firewalls! Firewalls can prevent you from accessing the virtual platform. If your company computer is blocking you from accessing the event, consider using a personal computer or device.

Be proactive!

Be proactive in setting up pre-arranged One-to-one Meetings: you can review all registered delegates/companies via your personal page and send a meeting invite with a personalised note. GHI’s expert team are on hand to help you identify and schedule meetings with target prospects. Any new delegates will appear as ‘yellow’ on the delegate section within the personal page.

Reach out to attendees. Make connections and stay connected!

Use video to demo kit to prospective buyers

GHI’s Meetings platform software will allow you to share YouTube videos or content from your company websites at the click of a button. Simply press play and you can show that tug, belt loader or automated boarding solution directly to your client.

Can I test the virtual meeting rooms before the event?

Yes! Please contact a member of the GHI team to discuss setting up your trial. We strongly recommend all delegates do this to ensure that your company firewalls don't block your access to the event on the day which may result in you being late to a scheduled meeting. By prepared and learn how to share your screen, play videos and suss out any issues with your webcam or mic before your live meetings.
